DOT Audit Readiness: A Practical Self-Check

Updated October 2026. This is a records-retrieval self-check, not a score, legal opinion, or prediction of an audit result. The records that apply depend on your operation and the type and scope of review.

Try a 15-minute retrieval drill

  1. Start with the request. If you have an audit notice, note its stated scope, deadline, and submission method. If you do not, choose one active driver and one vehicle as a practice sample.
  2. Find the applicable records. Check who owns each record and where it lives. Depending on your operation and the review, areas can include driver qualification, hours-of-service records, vehicle inspection and maintenance, accident records, and drug-and-alcohol program records.
  3. Trace the dates and follow-up. Can you tell when a record was created, when it was due, and what happened after a defect, exception, or missing item was found? Keep the underlying records intact; do not create or backdate a record to make a packet appear complete.
  4. Write down the gaps. List what is missing, who can verify it, and the next legitimate corrective step. Repeat the drill with another sample; a single clean file does not prove the whole program is ready.

For the governing requirements and examples of records, use the FMCSA Safety Planner and its Forms Library. FMCSA describes its New Entrant Safety Audit separately from other types of review; check the specific notice and applicable rules rather than assuming every review asks for the same packet.

Which kind of help do you need?

If an audit notice is already in hand, LBC Fleet’s audit-preparation page describes help with organizing a response to that notice. Confirm the requested scope and deadline before sharing records through an appropriate secure channel. For routine driver-file and compliance administration between reviews, see compliance services. Neither service replaces the carrier’s responsibility for accurate records or guarantees an outcome.
